    Public Relations Phenom: How to Best Represent Your Company




    PR is becoming more important to companies as technologies, such as mobile phones and the Internet, allow the public to access and upload information every hour of the day. Below introduces four ways to best represent your company to the public.

    Preparation

    Every PR related event needs some type of preparation, regardless of whether it is a small event, such as a retirement dinner, or a major event, such as a news conference. PR professionals should carefully consider things like the theme, speaking time, audience demographics and presentation goals. It is also helpful to think about certain topics that should be avoided or carefully discussed. After this is accomplished, PR professionals should work with any employees or other individuals who will be speaking at the event.

    Set Objectives

    PR may be an abstract topic, but it must be objectively measured in order to evaluate the event or campaign’s effectiveness. PR professionals should review with management what they hope to achieve by participating in the specific event. This could be anything from eliciting sales leads to increasing customer loyalty to raising awareness of a new product or service. Some PR events will focus on responding to major PR crises, such as product liability lawsuits or financial mismanagement scandals.

    Establish a Budget

    When representing a company, PR professionals, typically with a master’s degree in public relations or similar degree, establish credibility and build rapport through handing out PR-related materials. Once the above mentioned objects are clear, a budget can be set for the event. Bear in mind that marketing and PR budgets can quickly get out of hand, so there should be a financial plan of how to best represent the company. For instance, standard promotional materials include brochures, business cards and free gifts, such as pens or T-shirts. Business-related events, such as expos, will need a display booth and official press events will need press kits that contain things like photos, interviews and news releases.

    Practice Makes Perfect

    The more formal a PR event is, the more practice is needed to ensure a smooth presentation. In these situations, rehearsals are needed to establish expectations, fine tune messages and elicit feedback from viewers. This will enable management to understand what kind of impression the presentation makes. A formal rehearsal is actually an excellent way to encourage participants to improve scripts because it will force the speaker to present the ideas conversationally. Companies that have a continual need for PR presentations should consider hiring a formally trained PR professional.

    As a final point, preparation and practice will enable the speaker to develop fluency with key points, which will increase confidence and competency. Also, bear in mind that it is critical to coach people unfamiliar with PR about proper etiquette and that management should be able to objectively measure the success of their PR efforts.
