The centerpiece of this solution is a SharePoint add-on called ChangeBot, a site provisioning and governance assistant that can handle every phase of the change-request process automatically. It transforms the way organizations manage site creation and change in their SharePoint infrastructure.

ChangeBot enables authorized users to request the type of site they need, and initiate a process of automatic approval, site creation, governance and uniformity according to their pre-set stipulations—lifting the burden of manual site creation off the IT team. It also can automate the process of many common change requests from users.

According to Cate, most SharePoint users cannot provision new SharePoint sites, increase their storage quotas, activate a SharePoint feature or even change permissions. The farm administrator must then follow whatever policies and procedures his or her company requires, and fulfill the user’s request. Once fulfilled, the administrator notifies the user that the request is complete.

There are some common problems that users and administrators experience with this process, including a significant amount of hands-on manual effort; time-consumption; backlog pressure; user frustration due to slow turn-around times; and the prospect of inadequate record keeping about what change was requested, by whom, and the results of the request.

With ChangeBot, an approved user or site owner can select from pre-configured templates to find the exact change he or she needs. This initiates the automated process of approval and the workflow that accomplishes the task—with governance and uniformity standards automatically enforced.
