1.1 Key Policies relating to security and safety functions are summarized below:
• The Security function at AL-IKHWAN GROUP and its offices is contracted to a reliable private security organisation.
• The head of Administration department at Head office is responsible to ensure that adequate security and safety measures are taken through the contractor to safeguard its offices from all kinds of mishaps.
• The Administration department is also responsible for making adequate arrangement of fire fighting equipment to be installed at various prescribed locations at the office premises.
• The Head of the Administration function is responsible for evaluating performance of the contract organisation at the end of the contract period. The Competent Authority decides about the renewal/termination of contract organisation on the recommendation of the Head of Administration department.

• The head of Unit/Field/District office is responsible to ensure adequate security and safety measures are taken according to the policy defined by the head of Administration department.
• The Head of Unit/Field/District offices take appropriate steps to ensure implementation of security and safety measures at the gates and other sensitive places.

1.2 The detailed steps to be followed are described below.

On the first day of the contract, informs the personnel of contract organisation about the office premises, location of various areas/departments, entry and exit points, office timings and other key responsibilities of the security personnel.

Makes arrangement for recording attendance and preparation of duty roster for the security personnel.
Ensures that the fire fighting equipment is regularly inspected by the security staff and is refilled as and when required.
Monitors the conduct of fire drills and similar security and safety procedures.
Makes arrangement to ensure adequacy of security measures, including gates locks, lighting and deployment of security personnel to protect various areas and to prevent unauthorised entry and exit depending on the criticality of the area and the risk associated with unauthorised movement.
Arranges timely payment of bills to the security organisation through Finance & Accounts department.
Head of Unit/Field/District Offices
At the end of the contract period, evaluates the performance of the contract organization and informs the Head of Administration department.

At the end of the contract period evaluates the performance of the contract organisation and makes appropriate recommendations to the Competent Authority for renewal of contract.
Admin Department at HO and respective heads at Unit/Field/District office
Seat belts must be worn where provided at all times by all persons travelling in the front seat of AL-IKHWAN GROUP vehicles. Similarly, all persons using motorbikes must wear crash helmets.
All AL-IKHWAN GROUP offices must keep First Aid Kits within the office premises. The head of Administration will explain use of First Aid Kit to staff.

Failure to comply with this safety measures will result to disciplinary action. In addition, AL-IKHWAN GROUP reserves the right not to reimburse the cost of treatment for any injuries caused by a failure to observe these safety practices.
B) HEALTH MEASURES
POLICY
1.3 Key Policies relating to health functions are summarized below:
• The Manager HR will ensure that staff inducted at AL-IKHWAN GROUP offices is not suffering from any fatal/serious disease which may hamper his/her work.
• Hospitalization insurance policy is managed for permanent full time employees in accordance with the policy of AL-IKHWAN GROUP.

Ensures that staff inducted at AL-IKHWAN GROUP offices is not suffering from any fatal/serious disease to include Cancer, Aids, Hepatitis-B, Acute Asthma and other related diseases which may hamper his/her work.

Ensures that at the time of appointment, the individual is medically examined by the AL-IKHWAN GROUP nominated medical practitioner with regard to fatal/serious diseases. AL-IKHWAN GROUP bears no liability with regard to comprehensive treatment of any of fatal/serious disease.
Manages hospitalisation insurance policy with the approved Insurance Company for its permanent full time employees in accordance with policy of AL-IKHWAN GROUP as approved by the Board of Governors.
Insurance Company
Issue medical insurance cover card to those employees and their eligible family members who are approved for hospitalization insurance policy.
• The hospitalisation insurance policy will include benefits like general hospitalization / surgery, critical disease and maternity.

• The limits of benefits available for rooms and treatment will vary with the job grades of employee.
• Bill from nominated hospitals will be settled directly by Insurance Company.
• Insurance Company nominated hospitals will be located in Lahore and other major locations of Pakistan.
• There will be provision for receiving treatment at a private hospital in location where the Insurance Company nominated hospital does not exist.
