    Purpose Of an HR Software
    Sarath Sarekokku
Recruiting, payroll, staffing…. Oh my, and the list goes on. Every HR knows the pain of handling these responsibilities. If you’re an HR to a larger organization then the situation would be pathetic. This would affect both the organization and the individual. The organization could incur unnecessary cost trying to manage these microprocesses. For the HR person, a lot of precious time is wasted handling the mundane tasks. This is the point where HRs desperately need a  solution.

HR software - The Life Saver: -
In order to change these dynamics, the “HR Software” was born. To take away all your stress and makes things much simpler. Most of the organizations already use HRMS for getting their things done. The software can be customized as per their usage policies giving major flexibility. Managing the employee activities are just one-minute tasks through this. Starting right from the onboarding to the exiting of an employee, everything can be streamlined over the platform. This gives a clear visibility of the employee through better performance tracking.

    Forget the Paper Work: -
Imagine that you’ve to maintain a record for an employee all through the year. This includes his/her leaves, attendance, salary slips etc., and the most heart-wrenching part? You should do this for all the employees. At the end of the year, it would turn out to be a huge pile of records and files. Sometimes these get damaged and often hard to find the right document in time. Horrible right?
The HR software integrates various tasks into a virtual environment. This makes easy to store the data and access it any time quick and lots of other advantages added to it.

Okay now let us see how an HRMS justifies being the best,

Manage Attendance / Leave With Ease: -
When an employee is applying for a leave, it takes time for your approval as you might be busy in a meeting or doing other works. As a result, sometimes you might miss out on the email sent to you, which is a terrible thing. You need to keep track of their attendance and while computing the leaves of employee for a specific day, searching for that email would sometimes become your all-day task.
How about seeing the leave request on an organized dashboard and you’re just one click away either to approve or reject it. This is how it is in an HR software. The statistical data of the attendance is also provided for easy understandability. You can have the access to the reports regarding several types of leaves and attendance taken with clear details.

    Hassle Free Payroll Processing: -
For processing the salaries of the employees, the HR must do all the calculations such as leave deductions, bonuses or appraisals, taxes etc. For each employee calculating these amounts would be tedious and there will be 100 percent chance of occurrence of errors. Come on we are humans right! we can't always deal things with perfection. That's why automation is required.
By the inclusion of HR software to the organization, things get automatically sorted. There will be absolutely zero errors and you can do the corrections whenever you want with ease like defining the taxes, changing the CTC etc. Once you start using it you’ll realize the how complications are lessened. Anyhow, who does the same old rough work now? ...LOL

    Feasible & Functional Timesheet: -

Gone are the days where timesheet is only used for payroll by tracking the hours spent by an employee in the organization. It has got much more to it. In this one can track the project the employee is assigned to and the contribution he gave in. Based on which he is paid and given bonuses as an appraisal. The reports relating to them are generated and stored automatically. For any future reference, these help a lot.

Performance Management? Not a Big Deal: -

It is not always that an HR person can keep track of each employee’s progress all the time. There is a tool required to follow up with the employee performance and having the flexibility to view them anytime. Arranging the meetings with employees, feedback, reviewing and other features that are essential parameters for evaluation of the employee. The data is converted into infographic view giving that instant information when required.

MIS Reporting for Every Information System: -

A detailed MIS report for every aspect relating to financials, operations, customer satisfaction etc. are not that easy to prepare. It requires the investment of clear understanding and analyzing. Failing to do that in time leads to delay in decision making at the right moment. Due to this delay the company doesn’t get that extra edge of competency.
Whereas through the HRMS portal it can gather the information given over the platform. Compile them into a report and stores over the cloud. Reviews, surveys, and feedback are conducted directly with the employee through the portal. The data is availed in no time. This saves a lot of time and the business can carefully organize their operations accordingly.

    Onboarding Made easy: -

When a new employee is hired to the company, it should be seen that all the formalities are completed. HR must look after each and everything such as the leave policies, financial information, legal documents. These paper documents are prone to damage.
The employee’s data is safely uploaded to cloud storage through HR software. The employee can also fill out the information from his side like financial information, educational credentials. Once done he will be subjected to the company’s policies.
